A guide on how to generate and freeze a sub-user

The E-way bill system under GST provides many facilities for an easier and faster process. To avail of the facilities provided by the e-way bill system, one must register on the portal. 

Why is it necessary to create a Sub-user?

Every shipment with a value greater than INR 50,000 requires the taxpayer or transporter to produce an e-way bill. To account for the fact that many companies have many sites or branches around the country, the e-way bill's sub-user idea was developed. According to this idea, the sub-user can access the e-way bill site using their original username and password as long as the e-way bill is still valid. Additionally, the sub-user has access to the facilities and can utilise them as necessary. For instance, a sub-user may be able to reject or cancel an e-way bill but not generate one or the other way around.

Steps to create multiple Sub-user

The steps to create multiple sub-users are as follows: 

Step 1: Under the User Management found on the left side of the dashboard, click on Create Sub-user.

Step 2: An OTP will be sent to the registered mobile number or email ID.

Step 3: Enter the OTP and then click on Validate.

Step 4: Under the User Creation screen, fill in the details and click on Submit

  • Enter the Log-in ID and click on Check for its availability.

  • Enter the name, address, designation, phone number, and email address of the authorized individual who will use this sub-user ID.

  • Select the places of the businesses or branches for which the sub-user is permitted to produce e-way bills.

  • Choose from the options for e-way bill generation, cancellation, rejection, report generation, or updating masters that are accessible for sub-users on the e-way bill portal.

 

  • Then click Submit. In the absence of an error, the system creates the sub-user and automatically generates and sends a password to the sub-user's information.

Steps to Freeze Sub-User

The E-way bill system provides the facility for disabling the sub-user's feature. To do so, the user needs to follow the steps discussed below:

Step 1: Under the User Management on the left side of the dashboard, select Freeze Sub User

Step 2: Select the Sub-User you want to freeze from the options provided. Once the page opens, select Freeze, appearing at the bottom of the page.

 

Once the sub-user is frozen, the sub-user will be disabled and won’t be accessible to the facilities provided by the e-way bill system.
