The National Book Trust (NBT), India, is an apex body established by the Government of India (Department of Higher Education, Ministry of Human Resource Development) in the year 1957 to develop reading habits and creation of book culture in the country. To achieve its objectives, Trust is publishing good quality books at a reasonable price, organizing Book Fairs and Exhibitions in all parts of the country to provide an opportunity for interaction among authors, publishers, librarians and book lovers.

Challenges

In the publishing industry, Inventory control is always a critical part of business management. Initially, NBT Publishing house wanted a software solution to manage just inflow and outflow of inventory, but as the company began to expand, it needed software that could handle all inventory related details. Within no time, the company opened several branch offices in major cities of the country. With this expansion, the older methods of business management became insignificant, and the company was staring at newer challenges. Ensuring coordination between these branches was proving to be complicated. The expansion also resulted besides of new authors in multilingual languages & with this; royalty distribution also became a complicated task. The size of orders placed with the company also started growing, and there was an immediate need to keep a track till the final delivery of goods. At this juncture, the owners felt that it would be more prudent to go for a software solution that could manage all the components of their backend operations and make them work in an integrated manner across all business touch points.
Basic Requirements of the company can be summed up through the following points:

  • Mapping of challans to Invoices – NBT wanted automatic invoice creation from challans. It also needed an excellent operations/workflow management wherein challan and invoice design can be managed effortlessly.

  • Advanced Inventory Management – NBT needed a robust inventory management system to maintain stocks based on series, year of publication, MRP and so on. Availability of stock at individual centres and consolidated stock availability, the value of the stock at any given time are some of the necessary inventory-related requirements of NBT.

  • Head Office – Branch Office Coordination – Consolidated reports were required from branch offices based on transaction, stock, payables, debtors.

  • Royalty Calculation – Being a book trust, most basic requirements was the auto calculation of royalty to be paid to the authors.

Solution

BUSY’s Channel Partner arranged a meeting with the Company’s Deputy Director, MrPradipChabbra. Our Channel Partner understood each & every requirement of the NBT and offered simple, easy to use and effective solution for all their needs. Fascinated by the solutions provided by BUSY, MrPradip immediately decided to use BUSY for their operational requirements. Solutions, as provided to them, are:

  • All challans and corresponding invoices were generated in BUSY simultaneously to map pending challans to invoices. Proper records were maintained in BUSY to prevent spillage. This resulted in an increase in revenue for NBT.

  • The stocking was done based on parameters like Book series, year of publication & language. MRP was linked with every book to know stock valuation at any stage & any branch. Inventory reports based on pre-decided parameters could also be generated and exchanged between Head offices and Branch offices using HO/BO module of BUSY.

  • NBT has a presence in North, East, West& South India through its regional offices in key cities. Each of these regional offices transfers stock on-demand basis to distributors or multiple direct retail stores (S1…Sn) under them. The entire NBT office structure was mapped in BUSY. The multi-branch module was implemented. Stores could send sales & payable reports in XML format to regional office at a click of a button and regional office could share consolidated reports generated in BUSY with the head office.

  • Automatic royalty payable report was generated after a sale by tagging authors to books at a pre-defined percentage by implementing Royalty module in BUSY. Customized reports were also developed.

We have been using BUSY for accounting, billing and warehouse management purpose for several years. The software works smoothly. The tech support from BUSY Infotech has also been excellent. Installation of BUSY has significantly reduced the amount of time and human efforts required to do day to day office tasks. We are using BUSY in our headquarters in New Delhi and also in our four regional offices located in north, south, east and western parts of India. BUSY installations in all these locations are interconnected. Therefore, we can harness the enterprise-level capabilities of BUSY.
