I want to send bills and other documents by email from BUSY. What steps should I follow?
To send invoices or other documents via email using BUSY it is necessary to configure email.
Follow these steps to configure it.
Step 1. Open company for which you want to configure email settings.
Step 2. Go to Administration
Step 3. Then Click on Configuration
Step 4. Then Click on Email Configuration.
Step 3. Now in the email configuratoin choose the Email Sending Options and select Send Directly.
Step 4. Now select Sending Report as PDF Attachment and proceed to enter the server configuration.
If you are using a Gmail account, the server name for your Gmail account is smtp.gmail.com.
Now mention the server details, user name and password in email configuration.
Server name as smtp.gmail.com
username for the email configuration will be your Gmail email address.
Password will be your gmail app specific password which you can generate from your Gmail account.
To generate an app-specific password you should log in to your Gmail account.
Step 5. After logging into your Gmail account you need to click on the Gmail account logo and then click on
Manage Account services.
Step 6. After that click on the security tab located on the right side panel of your Gmail account
Step 7. Then enable two step factor authentication within the security section
Step 8. Now use the search bar in your Gmail account to search for App Password.
Step 9. Now Define the App name as BUSY and click on generate password
Step 10. Once the password is generated copy it and paste it into the password field in BUSY.
Step 11. Leave the port option as 0 or you can click on default port button.
Step 12. Enter the sender information in the From field as your name
Step 13. In the Reply To option make sure to specify the same Gmail account.
Step 14. In the next box for the Email Header you can include the lines as per your requirements
Step 15. In the next box for the Footer you can include the lines as per your need.
Step 16. If you don't want to remember CC and BCC accounts check the box that says Do not remember CC and BCC.
Step 17. After configuring your email settings save the configuration and then click on Test Account Settings.
If you receive a popup indicating that the email was sent successfully your configuration is working correctly.
Step 18. Now Again Go to Administration menu.
Step 19. Then click on configuration option
Step 20. Then select Voucher Series Configuration
Step 21. Now Expand the sale Button and select the series whose invoices you want to email.
Step 22. After selection of sale series click on Voucher configuration button which located on right side.
Step 23. Then Enable the option Send email after saving as Y and save the configuration.
Step 24. After configuring the email settings when you save the sales invoice BUSY will prompt you to send the email. Click the Yes button to proceed with sending the email.
Note- Recipients email ID should be configured in the Party Master for the email functionality to work properly.
