Sharing invoices and data with customers directly from BUSY. Which features allow this?
You can send invoices directly through BUSY via email and WhatsApp
Follow these steps to set up email configuration:
Step 1:Go to Administration, then click on Configuration, and select Email Configuration.
Step 2:In the email configuration, choose the Email Sending Options and select 'Send Directly.'
Step 3:Select 'Sending Report as PDF Attachment' and proceed to enter the server configuration.
Step 4:If you are using a Gmail account, the server name is smtp.gmail.com.
Step 5:To generate an app-specific password, log in to your Gmail account.
Step 6:After logging in, click on the Gmail account logo and then click on 'Manage Account services.'
Step 7:Click on the security tab located on the right side panel of your Gmail account.
Step 8:Enable two-step factor authentication within the security section.
Step 9:Use the search bar to look for 'App Password.'
Step 10:Define the App name as 'BUSY' and click on 'generate password.'
Step 11:Once the password is generated, copy and paste it into the password field in BUSY.
Step 12:Leave the port option as 0, or click on the default port button.
Step 13Enter the sender information in the 'From' field as your name.
Step 14:In the 'Reply To' option, make sure to specify the same Gmail account.
Step 15:In the next box for the Email Header, include the lines as per your requirements.
Step 16:In the next box for the Footer, include the lines as per your needs.
Step 17:If you don't want to remember CC and BCC accounts, check the box that says 'Do not remember CC and BCC.'
Step 18:After configuring your email settings, save the configuration, and then click on 'Test Account Settings.'
Step 19:If you receive a popup indicating that the email was sent successfully, your configuration is working correctly.
For Whatsapp Configuration follow these steps:
Step .1 Download Whatsapp Desktop Version from https://www.whatsapp.com/download/
Step 2. After downloading and installing the application, open it.
Step 3. You will be prompted to scan a QR code with your mobile WhatsApp app to link the two. Open WhatsApp
on your mobile device.
Step 4. Once the QR code is scanned, your WhatsApp on the computer will be linked to your mobile WhatsApp
Step 5. Now Open the company on the BUSY software from which you intend to send WhatsApp messages.
Step 6. Go to Administration menu and click on Cofiguration.
Step 7. Now click on SMS API Configuration.
Step 8. In the SMS API Configuration please click on the Add New Format button to create a new SMS API format
for sending WhatsApp messages.
Step 9. Then click on Upload PDF option to send a link to the PDF file generated from BUSY.
Step 10. Now enter the WhatsApp free API format which is whatsapp://send?phone=phoneNo&text=message
into the SMS API box.
Step 11. Now input the parameter names and values as per the API, ensuring that the case sensitivity is maintained.
For example, set Mobile as phoneNo and Message as message then click on save button to save it.
Step 12. Now Go to Administration menu and click on Configuration option.
Step 13. Now Click on Voucher Series Configuration then expand on sales button to select the sale invoice series.
Step 14. Now click on Voucher configuration button after selection of sale invoice series.
Step 15. Enable the option Send SMS after saving as Y then click on save button to save the configuratoin.
Step 16. Now Go to Transaction menu and click on Sales Option.
Step 13. Now Click on the Modify button to access an existing invoice.
Step 14. Now Choose the series for which you have enabled the SMS sending option and press on ok button to
open the invoice.
Step 15. Now Press ALT + S Or click on the SMS option located on the top row of the invoice. Alternatively,
you can also choose to resave the invoice to send the SMS from Whatsapp.
Step 16. Now select format for sending SMS then click on SMS button.
Step 17. After that click on send button to send sms from whatsapp.
Step 18. Now Whatsapp app automatically open then you have to click on the WhatsApp Send button to
transmit the PDF file containing the invoice link.
