Who Should Generate an E-Way Bill?

When transporting goods, individual with GST registration must generate an e-way bill under the following cases:

  1. An e-way bill must be generated for goods transported to or from a registered individual for a value exceeding Rs. 50,000. However, if the value of goods is less than Rs. 50,000, the registered person must still generate an e-way bill.
  2. An unregistered person who transports goods must also generate an e-way bill.
  3. If an unregistered person supplies goods or services to a registered person but fails to generate an e-way bill, the receiver must ensure that all requirements are met. In such cases, either the transporter or the recipient himself must generate an e-way bill to ship the goods by road, air, rail, or other means.

Documents and Information Required to Generate an E-Way Bill

To generate an e-way bill, you must be registered on the e-way bill portal.

Keep the following documents and information ready before you generate an e-way bill:

  • A valid invoice, bill of supply, or challan for the shipment of goods
  • If the mode of transport is by road, you need to mention the vehicle number or the transporter ID
  • If the mode of transport is by air, rail or ship, you need to mention the Transporter ID, Transport document number, and date.

Steps to Generate an E-Way Bill

There are four ways to generate e-way bills:

  • The E-Way Bill Common Portal on the Web
  • By SMS
  • Using e-Invoicing
  • Using an E-Way Bill Software

Individuals registered under GST can use the GST portal to generate e-way bills. 

Step 1: Log in to the  E-way bill portal  and enter the login details to access the platform.

Step 2: On the E-way bill main menu page, click on the “Generate New” option to create a new E-way bill.

Step 3: You will be directed to the e-WayBill Entry Form. Fill in the required details, and choose ‘outward’ if you are the supplier or ‘inward’ if you are the recipient.

The sub-type options will change based on the transaction type you select. If you choose ‘Outward’, the following sub-type options appear:

If you have chosen ‘Outward’, the fields in the ‘Bill From’ and ‘Dispatch From’ sections will be auto-populated, and you will need to enter information in the “Bill To” and “Ship To” sections. Vice-versa if you have chosen the transaction type as ‘Inward’.

Step 4: Further information is to be filled in as follows:

  • Product name and Description
  • HSN Code for the product
  • Quantity and unit of goods
  • Value of the products, along with tax rates
  • IGST or CGST rates will be applicable, respectively
  • Approximate distance to be covered with the Transporter Name and ID

Step 5: After entering the vehicle information in Part B, click “Submit” to create the E-way bill.

The e-way bill with the e-way bill number and the QR Code, including all the information in digital form, will be shown on the portal. The printed copy of the invoice should be given to the transporter, who will keep it with them the entire journey till they deliver it to the consignee.

You can easily print the e-way bill like this:

Step 1: Under the E-way bill option, click on “Print EWB.”

Step 2: Click on “Go” after entering the 12-digit E-way bill number.

Step 3: Click on either “Print or Detailed Print” on the e-way bill.
