Find Solutions to Common Issues Related to accounting-reports - account books
To identify and fix discrepancies in your accounts in BUSY, you can follow these steps:
Step 1. Review your account ledgers, balance sheets, and reports to identify any inconsistencies or discrepancies.
Step 2. Cross-verify opening and closing balances to pinpoint the specific accounts where issues exist.
Step 3. Check the vouchers and entries related to those accounts for any errors or incorrect data.
Step 4. Make adjustments and rectify any data entry mistakes or inaccuracies.
Step 5. Match invoices and receipts to ensure they are accurately recorded.
Step 6. Reconcile and verify GST amounts voucher-by-voucher between BUSY and the government portal.
Step 7. Update to the latest version of BUSY to ensure you have the most recent bug fixes and improvements.
Step 8. Take backups of your data before making any changes or corrections.
If some partial data is displaying in data, check the possible reason:
1.Confirm that if the invoice is posted with a zero value, it will not appear in the report.
2.If a particular voucher has been canceled, it will also not appear in the ledger report.
3.Confirm that the correct party is selected in the purchase voucher, and make corrections if needed.
4.Check if any other account is incorrectly tagged in the item master instead of the purchase or sales account. Correct the tagging if the wrong account is updated and then resave the invoice.
5.If the wrong account is tagged in the purchase or sales type, correct the account tagging in the purchase/sales account information field, and resave the invoice.
6.Check the company you are checking, must be the correct one.
To export invoice from BUSY, you can follow these steps:
Step 1: First open the invoice and click on the Print button or press ALT+P. Then, you need to select your format and click on Export button or press ALT+E.
Step 2: Choose Data Format such as PDF, HTML or XML and press OK.
To view & export payment report in BUSY, you can follow these steps:
Step 1: Go to the Display menu and click on Account Books.
Step 2: Select Account Registers(Standard) and Choose Payment Register.
Step 3: Enter the date range and can view the report.
To export that report use the Export (ALT+E) option to export it in a compatible file format such as Excel, CSV, PDF & Google Sheet.
If you want to add a custom column in sales register report please follow these steps:
Step 1: Go to display menu then click on account books
Step 2: Then click on account registers then click on sales register
Step 3: Open the report and select sale type and party as all or one as required
Step 4: Specify the date range and then generate the report
Step 5: Then click on custom column and enter a format name
Step 6: After that press enter and click on add new column and then specify the heading,position and data type as required
Step 7: Afterwards mention the alignment and number of characters
Step 8: Select category and click on field then select the field after that save the field then save the format
To check sales reports with unapproved/rejected entries and how do we identify them follow the below steps:
Step 1: Go to Display >Account book >Account register (Standard ) >Sales register >Open report after enabling Include unapproved/rejected entries .
We can identify Unapproved and rejected entries by the colour mark mentioned just before the date in the report.
Red colour will indicate unapproved entries and Brownish red colour will indicate rejected entries.
Voucher/master Approval
Voucher/Master approval is a feature through which can provide approval rights of different vouchers and masters to different users.
Enable Voucher / Master Approval feature in Administration > Configuration > Features / Options > Enterprise Features tab and configure approval rights.

To show two separate amounts and reference numbers in payment invoices generated
through BUSY one for item and one for the gst amount you need to follow the steps
Step1 go to the transaction menu and click on purchase and click to add
Step2 make the voucher with neccessary details and save the voucher
Step3 when the reference generation box open click on new reference then click on split reference select number of refernce 2 select basis as specified gap days 0 and click on split then save
step4 then go to payment voucher and save the voucher with details then at the time of
saving a reference box will open select adjustment and select the separate reference
If your sales reports are showing inconsistent totals compared to entries, you should check the following places in BUSY:
1. Sales Register: Verify the individual sales entries and their amounts.
2. GST Reports: Compare the total sales amount in the GST report with the sales register.
3. HSN Summary: Check if the total sales value matches the HSN summary report.
4. Party Groups: Ensure that the total sales for each party group matches the individual party sales.
5. Batch-wise Stock Reports: Look for any incorrect sales entries against batch numbers with insufficient stock.
6. Profit/Loss Reports: Check if the sales and profit/loss figures align.
By examining these areas, you can identify any discrepancies and troubleshoot the inconsistent totals in your sales reports.
If voucher are not showing in BUSY and your supplier has submitted the invoice then you recheck invoices from purchase register that are entered or not.If is not entered then you have to add again BUSY. To see Purchase Register in BUSY You can follow some steps:
Step 1: Go to the Display and click on Accounts Books.
Step 2: Now click on Accounts Register Standard and then select purchase Register and select the option for purchase type and parties for which report will be generate.
Step 3:Now specify time period and then enable Tax bifurcation and other option as per your requirement for report and then press OK Option.In this report you can see the voucher that you have entered in BUSY.
If you are unable to generate past entry reports in BUSY please follow these steps:
Step 1: Make sure that the date you are specifying while opening the report belongs to the current financial year
Step 2: Make sure you are checking correct report
Step 3: Make sure transactions existance is available in the company or not
Step 4: Make sure you have specific rights to view the report if you are logged in with subuser
If you want to search entries in BUSY follow given below steps:
Step 1: Go to display menu and click on query system or press key ALT+Q
Step 2: Then click on query on transactions
Step 3: Afterwards you can search your past entries
Sometimes, the opening balance in an account may not match the closing balance of the previous financial year, even after running the update master balance option. In such cases, you can try the following troubleshooting steps:
Take backup before making any changes.
Step 1: Run update master balance in last year and change the financial year with New & Changed Masters.
Step 2: Open that master in last year and resave that account master and then change the financial year with New & Changed Masters.
